Mina Logic / Privacy

Privacy.

Effective: · Last updated:

This policy explains how Mina Logic Ltd, based in Accra, Ghana, handles personal information from visits to this company website, business enquiries and email support.

Website visits

The company website is a static information site. It has no account sign-in, contact form or file-upload facility. Its pages do not use analytics scripts, advertising pixels or tracking cookies. Fonts, images and page scripts are served with the site.

Google Firebase Hosting delivers the website. Google processes technical request information, including IP addresses, to deliver content, maintain the service and prevent abuse. This is separate from our email-support records. Firebase’s privacy information explains its processing and retention; it currently describes Hosting IP-data retention as a few months.

Email and phone links open your own applications. Links to products, the Foundation, LinkedIn or other sites take you to services with their own privacy policies.

Messages and support

If you contact us, we receive the information you choose to send: your name, contact details, message, email headers and any attachments. Support messages may also include the product version, device or operating-system details, screenshots or a diagnostic report that you decide to share.

We use this information to reply, investigate the issue, provide the service you request and keep track of the conversation. For business enquiries, we may also use it to prepare a proposal and manage an agreed project. We process it for those requested steps or services, applicable legal duties and legitimate business needs such as resolving problems and protecting our services. Where consent is required, we ask for it.

Providing information is voluntary. Without a return address or enough detail about the issue, we may be unable to reply or help. Please send only what is necessary. Avoid sending passwords, payment-card details, identity documents or private recordings unless we have specifically agreed a necessary and suitable way to share them.

Sending a support email does not subscribe you to marketing. We do not sell personal information from enquiries or support.

Access and service providers

The domain’s incoming email is routed through Mailgun. Email sent to info@minalogicgh.com is forwarded to a Gmail inbox used for business enquiries and support. Mailgun and Google therefore process message contents, attachments and delivery information as part of providing email services. See Mailgun’s privacy information and Google’s privacy policy.

Our support policy limits access to Mina Logic personnel authorised to handle the enquiry, resolve the issue or administer the service. Any other adviser or service provider should receive only the information needed for a specific task, with appropriate confidentiality and data-protection arrangements. We may also disclose information where the law requires it or where necessary to establish, exercise or defend a legal claim.

Our hosting and email providers may process information outside Ghana. Our provider arrangements remain subject to applicable data-protection requirements. We cannot promise that information stays in Ghana or that a provider’s backup copies disappear immediately after we delete a message.

Retention and deletion

From 11 October 2026, our ordinary email-support retention rule is to delete messages and attachments within 180 days after the case closes. A case closes when the requested work is resolved, or when we have requested information and receive no reply for 30 days. A new reply can reopen it.

We review support records manually each month, including cases approaching their deletion deadline. This is a manual procedure, not an automatic email-expiry timer. Deletion includes the business-support message in the receiving inbox and support copies or downloaded attachments under our control, including recoverable trash. Provider backups and service logs follow the provider’s own retention processes.

Older support records will be reviewed under this procedure. Where a closure date is unavailable, we record whether the information is still needed and set a deletion deadline no later than 180 days after that review, subject to the exceptions below. This policy does not mean that older messages have already been deleted.

We may retain specific information longer when it is still needed for an active project, an applicable legal or accounting requirement, or a dispute. We record the reason and review whether it remains necessary. This does not justify keeping an entire support thread or every attachment when a smaller record is sufficient.

We keep a minimal record of deletion and exception reviews for up to 12 months. It contains a case reference, review or completion dates and the reason for any retention exception, without message contents, attachments or contact details.

Business correspondence that becomes part of a client project is handled under the project’s agreed confidentiality and retention arrangements and our Client Confidentiality and Case-Material Handling Policy. The ordinary email-support period above does not authorise retaining sensitive case media for 180 days. We keep project records only for the agreed work or another documented necessary purpose. You can ask us about the period that applies to your record.

Front Row’s website support form has its own retention rules in the Front Row policy. A website submission and an email are separate records; submitting one does not automatically delete the other.

Your choices and rights

You can ask what personal information we hold about you, request access or correction, ask for deletion, object to processing, or withdraw consent where we rely on it. These rights have applicable legal limits. Withdrawing consent does not undo processing that was lawful before withdrawal.

Email info@minalogicgh.com with “Privacy request” in the subject and enough context to identify the record. We may need proportionate information to verify that the request is yours; please do not send an identity document unless we explain why it is necessary.

We respond promptly and within the deadline applicable to your request under Ghana’s Data Protection Act, 2012 (Act 843). If we cannot fulfil all or part of a request, we explain the reason. You can also raise a concern with Ghana’s Data Protection Commission.
